PowerDMS

Pros: It is simple to create and manage policies with PowerDMS, it is easy to distribute them and revise them constantly because it provides a repository with all the current policies that is very easy to manage. I like that we can track document history and see past editions of policies, as well as keeping up to date with all the signatures in our business, and know if all employees have signed up the policies thanks to the database that is stored in this cloud- based service, it is simple to track past signatures from every employee. When updating a policy, it is easy to send for revision and approval, keeping the workflow smooth and consistent with our work environment. Because it works as a digital repository, everyone has access to all the policies, giving our employees a sense of transparency and providing honesty in our work, and it is easy for them to find each policy because the search function is very accessible and tracks different policies by only putting some few key words in the search bar. Also, PowerDMS provides us with different tasks and reminders inside of the application that let us know when a document needs to be revised and approved, which is wonderful because we are dealing with many documents at the same time.

Cons: The only thing that I dislike about PowerDMS is the fact that the mobile application is not as agile as the website, I like the fact that there is one but it is not intuitive enough that one can manage policies as good as when being on desktop, which is very problematic because sometimes I am not in the office and will need to revise some documentation while I am traveling, and it is difficult to do so if I only have access to my phone, it is lacking many interactive tools and features and I do not really find myself using it that much, which is not the purpose of a mobile application as I would like to use it as much as I can when I am not on the office. Also, this is not a dislike but a suggestion, I would like to be able to reassign a policy to another user without creating a brand new one in another document.

Overall: Thanks to PowerDMS, we are able to have a digital repository where we can store all legal documentation regarding our business about different policies that are established, each one of our employees is able to sign the documentation online and have the signature registered in this software. It has worked through every step of our employment process and it has served a great purpose providing a place to store the training documents that we use when we are in the recruitment process and need to train new people for our business, all this documentation is easily accessible by everyone and they are able to read every training step there, and they are also able to sign different paperwork when the hiring process is finished and they become permanent employees.
